Privacy policy
Last updated 2 November 2026.
This policy explains what Meetcha does with your personal information. We keep it short and plain. If something is unclear, email richard@meetcha.co.
Who we are
Ask Virgil Limited (company number 17179726, 20 Stanhope Avenue, London, England, N3 3LX) is the controller of your personal information. We make woven bands that help people at events swap details, and this website.
What we collect and why
If you contact us about an event. Your name, email, event name, expected attendees, event date, any note you add, and which version of the page you saw and where you came from. We use it to reply to you and to understand which messages work. We rely on our legitimate interest in answering enquiries you send us.
If you set up a band. Your name, email and photo from the account you sign in with (Google, LinkedIn, or an email link), the role and company, LinkedIn link and phone number you choose to add, the time you accepted our terms, and your preferences. We use this to run the service you asked for.
When you tap or swap. We record which band was tapped, when, and whether you were signed in. When you press Swap we record the swap, who took part and when. You can also write private notes about people you met. Other users cannot see your notes.
Emails. If you have swapped details with someone, we email you a list of who you met at 18:00 on the day, and a reminder on the following Monday at 08:00. These are part of the service. Every email has an unsubscribe link.
Website use. We count page views and button clicks without using advertising cookies. Our hosting provider keeps standard server logs for security.
Who sees what
- Before a swap, someone who taps your band sees your name, photo, and your role and company if you chose to show them.
- Your email, LinkedIn link and phone number are shared only with a person you have swapped with, and only the ones you switched on. Swaps always go both ways. Your phone number is off unless you add one.
- You can change what you share at any time. Changes apply to people you have already swapped with.
- We do not sell your information and we do not show adverts.
- We do not receive attendee lists from event organisers. Organisers will only see a summary: the kinds of jobs people do, the size of their companies and other information that does not identify anyone. We will update this policy before we offer anything different.
Companies that help us
We use trusted providers to run the service: Vercel (hosting and website analytics), PostHog (product analytics), Neon (database), Resend (email), and Google or LinkedIn if you choose to sign in with them. They only process information on our behalf. Some are based outside the UK, and we use providers that apply recognised safeguards for those transfers.
How long we keep it
- Enquiries: up to 24 months, then we delete them unless we are working together.
- Your profile, taps, swaps and notes: until you delete your account.
- Server logs: a short period set by our hosting provider.
Your rights
You can ask to see, correct or delete your information, ask us to restrict how we use it, and object to our use of it. You can delete your account yourself from your account page, which deletes your profile, taps, swaps and notes. To use any other right, email richard@meetcha.co. If you are unhappy with how we handle your information, you can complain to the Information Commissioner's Office at ico.org.uk.
Cookies
We use one essential cookie to keep you signed in. We do not use advertising or tracking cookies.
Changes
If we change this policy in a way that matters, we will update the date above and tell you by email if you have an account.
